By leveraging PowerApps, we’ve created an intuitive, role-based interface that lets site personnel input and update data effortlessly, all while maintaining strict access controls through SharePoint groups and Active Directory SSO. This means only the right eyes see the right data, whether it’s a site lead or a cybersecurity expert. Add to that Power BI dashboards delivering real-time, drill-down insights—from high-level program performance to granular, site-specific metrics—and you’ve got a tool that empowers executives to make informed decisions, fast. We have recently finalized a significant project within the Data & Analytics domain, delivering an enterprise-grade cybersecurity program repository, a comprehensive Site Process Tracker for all facilities, and an executive reporting solution. This initiative empowers industrial sites to evaluate and enhance their cybersecurity posture, while furnishing leadership with timely, actionable insights into program performance.
In today’s fast-evolving digital landscape, with factories and plants increasingly relying on digital solutions, ensuring robust cyber protection has become a top priority. Recognizing this need, our team recently delivered a comprehensive cybersecurity readiness solution that enables structured assessments, progress tracking, and executive reporting.
Project aims to gain increased visibility into Operational Technology and overall site security posture within factory, assembly and test field sites across the organization’s domains, leveraging existing discovery tools and extending them into the OT space or implementing Microsoft Defender for IoT sensors as a selected tooling.
Within the Cybersecurity Program Registry, the primary objective was to systematically monitor and strengthen the cybersecurity readiness of manufacturing facilities on a global scale. The solution’s core components consisted of:
1. Main Program Registry with centralized repository housing comprehensive information for multiple manufacturing locations.
The Main Program Registry is structured around four foundational pillars:
- A centralized repository houses comprehensive information for all manufacturing locations, including addresses, project phase allocations, local leadership, subject matter experts, and management profiles. To properly manage previously unstructured data, a Master Data schema was implemented, with modification rights restricted to designated administrators.
- The Site Process Tracker delivers an organized framework featuring predefined steps and milestones, real-time status updates, notes, and document links. Project phases—such as pilot, phase 1, phase 2, and global rollout — are statically assigned to each site, with each phase governed by standardized process step templates. This template-based approach has enabled continuous process refinement and maturity over time.
- A robust history tracking mechanism enables detailed monitoring of changes, progress tracking, and trend analysis. Leveraging automated workflows via PowerAutomate, structured data snapshots are systematically captured within SharePoint lists at scheduled intervals or upon user initiation.
2. Integration, Data Management & Access Management. Designed architecture enhanced operational efficiency and governance by anchoring user identity and activity within the corporate directory.
User-friendly data entry and ongoing updates by site personnel were identified as critical requirements for the program. These needs were addressed through seamless integration with PowerApps, utilizing a customized Canvas application to deliver an intuitive and professional interface tailored to project members’ roles. All inputs were securely captured and stored within structured SharePoint lists, emulating traditional database architectures.
SharePoint’s document management capabilities enabled systematic organization and retrieval of process documentation, including mandatory attachments for specific workflow stages. All files collected were accessible via the PowerApp interface and linked directly to corresponding factory records.
Access management was streamlined by leveraging SharePoint groups, ensuring only authorized personnel could view, edit, or retrieve factory-related documentation. The solution employed Active Directory integration and Single Sign-On (SSO) across all major components—PowerApp, SharePoint repositories, and Power BI dashboards—maintaining a unified, authoritative source for user accounts.
This architecture enhanced operational efficiency and governance by anchoring user identity and activity within the corporate directory. The resultant audit trail supports compliance efforts and regulatory reviews. Furthermore, the PowerApp’s role-based logic enabled users to engage exclusively with information pertinent to their responsibilities, whether they were site leads, program coordinators, or cybersecurity subject matter experts.

3. Advanced Reporting & Executive Dashboards, dedicated Power BI reporting to deliver comprehensive visibility and actionable insights.
A dedicated Power BI reporting layer was implemented to deliver comprehensive visibility and actionable intelligence across all program activities. This robust analytics platform offers:
- Strategic, high-level insights into overall program performance,
- Granular, site-specific cybersecurity assessment outcomes,
- Completion tracking segmented by region, individual factories, and process stages,
- Advanced drill-down functionality for detailed analysis of site-level progress,
- Row-level security protocols to safeguard sensitive information and enable controlled data access.
To optimize for diverse deployment scenarios, the reporting structure was engineered for adaptability. Depending on the chosen program type, the system automatically selects and applies the appropriate process steps through predefined templates tailored to specific deployment models. This ensures efficient and accurate reporting aligned with organizational requirements and operational realities.
All collected data is centralized within interactive dashboards that deliver comprehensive program overviews as well as granular, site- and milestone-specific insights. This dynamic tracking capability empowers organizations to swiftly identify bottlenecks and optimize resource allocation. An integrated data snapshot mechanism further enables trend analysis and facilitates visualizations of initiative progress, providing actionable intelligence to support executive decision-making.

- Managing dispersed data assets—including numerous spreadsheets—without existing governance required establishing a structured framework to enable cohesive orchestration within defined processes.
- The solution needed to continuously adapt to an evolving process model, as the business utilized an agile methodology that refined the workflow based on frequent observation and feedback. This iterative, phase-based approach resulted in a purpose-built solution, but also increased implementation complexity. Success was achieved through careful data model design and flexible data structuring, allowing for dynamic adjustment of attributes, relationships, and related documentation.
- The absence of Dataverse or other conventional database infrastructure necessitated the use of multiple SharePoint lists to emulate database functionality and maintain system performance.
- Delivering tailored visualizations to meet business requirements involved leveraging tools such as Deneb and VegaLite, ensuring customer expectations were met and maintaining familiarity with legacy data formats like Excel tables.
- Adapting calculation methodologies to fulfill evolving requirements meant adjusting the visibility of process steps based on settings applied within the PowerApp, and accurately reflecting these changes in reports, including retroactive adjustments.
- Ensuring attribute alignment was essential, as decisions about which flags or attributes to use for report displays – such as choosing between “Phase” and “Stage” – needed continual review and consensus.
- Global Factory Coverage: The initiative provides increased visibility into Operational Technology (OT) and overall site security for factories, assembly, and test field sites, leveraging existing and new tools (including Microsoft Defender for IoT sensors).
